Once you click on the Schedules section, you’ll be presented with your personal schedule. We call this page the “My Schedule” page. This is the area where you can review your current schedule and (optionally) make requests related to your schedule.
On your schedule page, you can switch between the weekly view (which shows by default) to the daily or monthly view, by using the menu in the top right corner above the schedule. By using the arrow keys in the same row, you can navigate to different days, weeks or months.
Besides reviewing your personal schedule through this page, you can also print it out or sync it with your Google Calendar, Facebook Calendar or Outlook Calendar, through the options visible in the screenshot above.
If you want to trade your shift, drop it or find someone to cover it, you can simply click on the shift and additional information will appear with options allowing you to perform any of those actions. Please note that these are configurable options, and if you do not see an option to trade a shift, drop it or find a replacement, that means that your administrator has probably disabled those features.
If you click on the “Swap/Trade Shift” link from the screenshot above, the system will take you to the dialog to select one of the available shifts and colleagues you could trade with.
Once you select a shift that would work on your end, and that you want to have on your schedule, just select the check-box and confirm the request. Optionally, you can also enter a note, which will be visible to your supervisor or admin while approving the request. Initially, the request goes to your colleague to confirm the shift trade, and if they do, then it goes to the supervisor or administrator for an approval.
Dropping a shift
If you cannot work one of your previously scheduled shifts, you can request to drop it. By default, this feature is disabled in the system, so if you do not see it in the system when you click on one of your shifts, then, unfortunately, you won’t be able to use this feature.
When you try to drop one of your shifts, you’ll be prompted to enter a note or a reason for dropping a shift, which will be presented to your supervisor. If your email or SMS notifications are enabled, then you’ll be notified once your supervisor approves or rejects your request.
Finding a coverage/replacement
If you want to ask one of your colleagues to take over a part of your shift, or the whole shift, you can do so by clicking on the “Find Cover” link. Once you do that, you’ll get a list of other users who could work that shift, or a part of it. You can select the person (or more than one person) you want to ask to take your shift and write a reason, which will be visible to your supervisor for the final approval.
When you submit the request, your colleague will be notified that you’d like them to take one of your shifts. They’ll have a chance to accept the request. After that the request goes to your supervisor for approval. If your email or SMS notifications are enabled, you’ll receive a notification once your supervisor approves or rejects the request.
