If your company is using both QuickBooks Desktop (QB Desktop) and Ximble, then you can easily connect both systems. Once you do that, you’ll be able to sync data between the two systems smoothly. In order to configure this integration, please visit the App Center in the left hand side menu, and simply click on the “Connect” link right below QuickBooks Desktop logo.
As soon as you confirm the integration and connect both systems, you will be able to sync certain information between the two systems. Those pieces of information are:
- Sync timesheets from Ximble to QB Desktop
- Sync employee information from QB Desktop to Ximble
When importing staff data you will be asked to choose the user roles employees will have in Ximble. The Default Role dropdown menu assigns one of the existing user roles in Ximble to employees which will be imported and Officer Role dropdown menu assigns user roles to the QB Officer.
In order to connect QB Desktop and Ximble you have to download the QWC file.Clicking the Save button without downloading QWC file will not start the integration process. Once the QWC file is downloaded and started, the following window will open:
In the Password column, you have to enter the same password you are using for the Ximble account. If Auto-Run Column is checked then sync will occur every minute set in the Every_Min column. If it is un-checked then you will have to do the sync manually each time you wish to transfer data.
Import Staff Data
If you decide to sync employee information from QB Desktop to Ximble, then the system will pull your staff data and create their profiles in Ximble automatically. This allows you to save time and, instead of manually adding all your staff members into the system, you can have our platform pull that data automatically.
The information which is transferred from QB Desktop to Ximble is:
- Employee’s First and Last Name
- Employee’s Address, City, State and ZIP Code
- Employee’s Main Phone and Main Email
- Employee’s Hire Date
Export Time Clock Data
When it comes to timesheets, you will be able to export approved timesheets from Ximble to QB Desktop.
Once the timesheet window opens you will be able to see exported hours (in form of total hours worked - there will be no start time nor end time) for the selected employees.
Important: Time sheets will not be exported if option “Use time data to create paychecks” is checked on employee’s profile under the Payroll Info section.
