If you're subscribed to an Advanced plan, you have access to the App Center which houses connections to Ximble's growing list of partner integrations. To access the App Center, hover over the Settings tab (gear icon), and click the App Center button.
Next, locate the QuickBooks Desktop panel, and click the Connect button.
Once the Connect button is clicked, you will be presented with a new page with several QuickBooks Desktop related options. Keep in mind that this is a two way integration:
- You can sync Ximble Time Clock data to QuickBooks Desktop
- You can sync QuickBooks Desktop Staff Data to Ximble.
Before explaining what each option does, you will want to ensure that this page is configured properly, then click the Download QWC File button, and save it to your drive. Head over to your QuickBooks Desktop account, click File, the select the Update Web Services option.
This will open up a new window called the QuickBooks Web Connector. Click the Add Application button in the bottom right hand corner. You will now be presented with a series of additional confirmation windows. Continue through this process until you have access to the Web Connector window.
Export Time Clock Data
To export Time Clock data from Ximble to QuickBooks Desktop, you will want to ensure that the entries you're exporting have been approved via the Timesheets page within your Ximble account. Next, via the QuickBooks Web Connector, follow the steps as seen in the image below.

- Enter in your Ximble password.
- Step 3
- Click the Update Selected button.
Successfully exported time clock data can be reviewed within QuickBooks Desktop via the Enter Time - Use Weekly Timesheet page. There's no start / end time for the hours, only total hours.
IMPORTANT NOTE: Ximble Timesheets page data will not be exported if the QuickBooks Desktop option USE TIME DATA TO CREATE PAYCHECKS is enabled via the employee’s profile under the Payroll Info section.
Import Staff Data
Before importing staff data from QuickBooks Desktop to Ximble, you'll want to decide what User Role is assigned to each staff member within Ximble using the Employee / Manager fields.
Using the QuickBooks Web Connector, and the same steps explained for exporting time clock data, go ahead and Update Selected to import staff members from your QuickBooks Desktop account to your Ximble account. The following is transferred for each staff member:
- First / Last Name
- Zip Code
- Phone Number
- Email Address
- Hire Date
