Ximble allows import of a schedule through either a CSV or an Excel file format. You may download our template by clicking the button below:
To import an already prepared schedule from the Excel or CSV file, please navigate to the Schedules section, and from there, please click on the Import option.
When you click on Import button, the following window will open:
Once you click on Import button, you’ll be able to browse your local drive in order to find the Excel or CSV file you wish to import. Afterwards, click the "Upload List" button and the following will open:
For each column in your file, select the field it corresponds to in 'Assign to' and press Save.
CSV / Excel File Requirements
The CSV/Excel file should contain the following data:
- Position Name
- Department Name (optional)
- First Name
- Last Name
- Start Time
- End Time
- Break Start Time (optional)
- Break End Time (optional)
- Shift label (optional)
- Notes (optional)
Please keep in mind that headers are mandatory.
The fields in your file do not need to be in this order. If your file contains more columns than required for the import, you may skip them.
Note: If the position, department or employees don’t exist, they will be created automatically.
The date and time formats in a CSV/Excel file must match the current formats in the application.
To check your current Date and Time Settings, please go to My Account - Company Information.
For example, if the time in the application is the 24-hour format, then you cannot use the 12 hour format in the CSV/Excel file.
CSV/Excel File Example:
- For Column A (Position) - Assign to Position Name
- For Column B (Department) - Assign to Department Name
- For Column C (First Name) - Assign to First Name
- For Column D (Last Name) - Assign to Last Name
- For Column E (Date) - Assign to Date
- For Column F (Start Time) - Assign to Start Time
- For Column G (End Time) - Assign to End Time

Please ensure that the CSV/Excel file you’re using for your Schedule import has the correct date and time formats:
Besides importing, you can also export your schedule. In order to do this, simply click the type of file you would like to export into. You can choose from Excel, CSV or PDF.
