Setting up Xero Integration
If your company is using both Xero and Ximble, then you can easily connect both systems. Once you do that, you’ll be able to sync data between the two systems smoothly. In order to configure this integration, please visit the Settings > App Center in the left hand side menu and find the Xero logo. You will be able to choose from US or Australia depending on where your company is located, and then simply click on the “Connect” link.
The next step is to allow the data exchange and confirm the integration between Xero and Ximble. If you are already logged into Xero in the same window, all you have to do is click the “Allow Access” button and the integration will occur. If you are not logged into Xero when establishing the integration you will have to enter your Xero credentials.
Using Xero Integration
As soon as you confirm the integration and connect Xero and Ximble, you will be able to sync certain information between the two systems. Those pieces of information are:
Sync timesheets from Ximble to Xero
Sync employee information from Xero to Ximble
Once you have established the integration you will be asked whether you want to import the staff data from Xero and if so, choose the default role they will have in Ximble.
If you decide to sync employee information from Xero to Ximble, then the system will pull your staff data and create their profiles in Ximble automatically. This allows you to save time and instead of manually adding all your staff members into the system, you can have our platform pull that data automatically.
When it comes to timesheets, you will be able to export approved timesheets from Ximble to Xero. Simply select a specific date range on the timesheet page, click “Export to Xero” from the “Action” dropdown menu, confirm the export and let the system do all the work for you. In order for the export to be successful, the date range in Ximble must be in the range of Xero’s pay runs.
If the timesheets export were successful, you will see a notification informing you of the number of timesheets records for the number employees were exported to Xero. The next step is to log into your Xero account and go to Payroll > Timesheets and select the employees whose timesheet records you have exported. Here you will find the number of hours for each exported record from Ximble.
Troubleshooting Xero Integration
Will my employees be deleted from Ximble after Xero is disconnected?
- No, your imported employees will still have their profiles in Ximble.
What happens to the exported timesheet records after Xero is disconnected?
- All timesheet records you have exported will remain in Xero.
When and how does data sync occur? Is it manual, automatic, on login, in real-time. Are there any settings related to synchronizing?
- Employees are synced to Ximble immediately after you establish the integration with Xero, after that each hour the system will update if any changes occur in Xero. Approved tmesheets are exported manually for the date range you choose.
All of my timesheets are approved, but I am getting an error message when trying to export timesheets.
- Make sure that date range for the timesheet records you want to export fit in the date range of pay runs in Xero. Only those timesheets will be exported.
