The “Pay Periods” functionality allows Ximble users who have fixed pay cycles to have a more structured way to process payroll.
To pre-define your pay period cycle, please navigate to the Settings section, and then click on the Payroll option. Simply select the pay frequency, which can be set to the weekly, bi-weekly, semi-monthly or monthly option, and select a starting date. Then select users that fall under the selected pay cycle, and that’s it - you’re ready to go! You will be able to select any custom date range for the payroll report for the employees that do not belong to the pre-defined pay period. Let’s save this setting and see it in action now.
Let’s navigate to the Reports section and open our Payroll report. If you’d like to run the payroll report for employees that are assigned to a pre-defined pay period setting, then simply select the “Pay Period” option from the drop-down. Select a date, and the system will show you the exact pay period covered by the selected date. Then select additional options, overtime settings and other filters, and click the “Preview Payroll” button. Once you verify the data, you can finalize the pay period and, by doing that, you’ll lock the data from any further changes.
When a pay period is finalized, all the timesheets that belong to that pay period will be locked. Consequently, no further changes will be allowed to an already processed pay period. If you need to make some changes to an already locked pay period, simply navigate again to the Settings section, click on the Payroll option, and then click on the “View History” link. Besides viewing all your pay periods, you can also unlock the last pay period from here to make any changes. Once you’re done with adjustments, you can run the payroll report again and lock it.
